Clinic Assistant (Part-time)

General Description

The Clinic Assistant is responsible for compassionate customer service, is the front line in creating a positive relationship with our clients and potential clients and works as part of an integrative team with a holistic and client-centered mission.

This position plays an integral role and is responsible for overall office activities, including: mail, email, telephone, scanning/faxing, data management, coordinating client appointments, billing, and accounts payable/receivable.

Qualifications

  • Desire to work as part of an integrative team with a holistic and client-centered mission.

  • Excellent communication, customer service, time management and coordination skills.

  • Excellent computer skills and proficient with fax, scan and copy equipment.

  • Advanced interpersonal skills including the ability to develop and maintain effective professional relationships with clients, clinicians, coworkers, contractors and vendors.

  • Attention to detail and ability to work with accuracy while maintaining confidentiality.

  • Education: Some college is preferred but not required.

Essential Duties and Responsibilities

  • Support the flow of information between the owner, clinicians, employees, clients, vendors, and consultants.

  • Exhibit courteous, efficient and professional communication skills via telephone, mail and email, both internally and externally, while maintaining confidentiality.

  • Proficiently manage multiple calendars.

  • Enter new client information with accuracy into electronic health record.

  • Creating client accounts, data entry with accuracy and efficiency, taking payments and following up with open and unpaid invoices.

  • Accurately code data. Accurately and timely support insurance billing according to program requirements.

  • Support clinicians around documents, scheduling, scanning, and other areas they need assistance.

  • Exhibit basic computer skills.

  • Proven experience in working independently and as part of a dynamic team and in exercising refined judgment and discernment.

  • Demonstrated skill in managing multiple projects with a high degree of accuracy, attention to detail, and quality.

  • Triage issues and engage in problem solving to resolve client and clinician concerns, tasks, duties, etc.

  • Complete special projects, as needed and assigned by supervisor.

  • Timely and regular attendance in the pursuit of job responsibilities.

  • Monitor the office lobby areas to ensure they are neat, clean and tidy.

IV. Physical Demands

  • This position requires work at a computer and involves standing, sitting, bending and lifting of at least five pounds.

This position is at the hub of a fast-paced and growing business. He/She/They must thrive in a busy setting with frequent interruptions and have the ability to prioritize and problem solve. Adhering to HIPAA and confidentiality rules and standards necessary.
